Clear handling for maintenance and account data.

SPARK CMMS stores information needed to run maintenance workflows, support users, protect accounts, and improve the product. We do not sell personal information or company maintenance records.

Information we collect

✓Account details such as name, email, role, company, and login settings.
✓Maintenance records such as work orders, assets, PMs, inventory, sites, buildings, notes, and history.
✓Files uploaded by your company, including manuals, photos, documents, and knowledge base material.
✓Support form information such as name, company, reply email, subdomain, issue type, and issue description.

How we use it

We use data to provide the CMMS, route users to the right company workspace, enforce permissions, deliver notifications, support troubleshooting, maintain backups, improve reliability, and secure the service.

AI and Knowledge Base data

AI and Knowledge Base features are coming soon. When enabled, SPARK may index uploaded Knowledge Base content and permitted maintenance context so users can search, summarize, or draft more effectively. Access will still follow company permissions and workspace settings.

Sharing and service providers

SPARK may use trusted providers for hosting, database storage, backups, email delivery, monitoring, security, and support. We do not sell company data or personal information.

Security and account responsibility

Users should protect passwords, use two-factor authentication when available, and report suspicious activity to a company owner or SPARK support. Company owners and admins control user approvals, roles, and workspace access.

Retention, exports, and deletion

Company records are kept as needed to provide the service, maintain audit history, support backups, and meet operational needs. Backups, logs, and audit records may remain for a limited time after records are changed or deleted.

Data controls

How to delete your data

Delete an individual user account. Ask your company owner or administrator to remove your account from Settings → Users & Roles → Manage Users. When the account is deleted, SPARK deletes all personal account data and user-linked data stored with it, including the profile, sessions, security records, notifications, and device information.
Delete a company workspace. The company owner can open Settings → Company Profile, choose Delete Workspace, and type the company subdomain to confirm. This permanently removes the company workspace and its company data.
Request help. For an export, deletion request, or data that is not available in Settings, email support@sparkcmms.com from the account email address with the company name and specific request.

Company-owned maintenance records, such as work orders or assets, may remain after an individual user account is removed because they belong to the company workspace rather than to that individual user. Limited backups, logs, or audit records may also be retained as described above.
